Privacy Policy

Last updated: 1 April 2026

At FluxNode AU, safeguarding your personal information is a responsibility we take seriously, operating in full accordance with the Australian Privacy Principles (APPs) set out in the Privacy Act 1988 (Cth). As the data controller, we manage the personal information you provide when planning offline entertainment events that feature professional dealers, themed tables and custom setups for occasions including corporate functions, team-building activities, weddings, charity evenings, private celebrations and comparable gatherings. Our services centre on delivering memorable experiences through games such as Roulette, Poker, Blackjack and Craps, all staged in immersive themed environments with no involvement in real-money activities whatsoever. We collect only the information required to coordinate your event, communicate relevant updates, process bookings and continually improve what we offer. The lawful bases for processing include fulfilling our contractual obligations when you confirm an event, pursuing legitimate interests in running our operations efficiently, obtaining your consent for optional communications such as post-event feedback or promotional updates, and satisfying legal obligations including record-keeping under Australian taxation and consumer protection legislation. We do not engage in automated decision-making or profiling that could significantly affect you in any way.

Transparency underpins everything we do. When you enquire about an event, we collect details such as your name, email address, phone number, event date, venue preferences, guest count and any particular requests — used solely to personalise your experience. We never apply your information to unrelated purposes and we will not sell, rent or trade it with third parties under any circumstances. Operating exclusively in Australia means we are bound by local privacy law only, with no cross-border data transfers unless absolutely necessary and protected by appropriate contractual safeguards. Our security measures include SSL/TLS encryption for all communications, access controls restricted to authorised personnel, routine vulnerability assessments and a documented incident response protocol. In the event of a data breach we will notify you and the Office of the Australian Information Commissioner (OAIC) as required under the Notifiable Data Breaches scheme without delay.

Your rights under the APPs include accessing your data, correcting inaccuracies, requesting deletion subject to legal retention requirements and objecting to certain forms of processing. To exercise any of these rights, contact us at events@fluxnodeau.com and we will respond within 30 days. We retain data only as long as necessary: booking records for up to 7 years to satisfy Australian Taxation Office requirements, contact information for 1–2 years, and analytical data for up to 2 years. After those periods, data is securely destroyed using methods including cryptographic erasure. This policy is reviewed at minimum annually and updates are posted here with a revised date. Continued use of our site following any update constitutes acceptance. As all our events are strictly 18+, we do not knowingly collect information from anyone below that age. We use cookies selectively — essential ones for site functionality, functional ones for remembering your preferences, and analytical ones via Google Analytics with IP anonymisation active. Full details are in our Cookie Policy. If you are dissatisfied with how we handle your information, you may lodge a complaint with the OAIC at https://www.oaic.gov.au. We always welcome direct contact in the first instance.

We collect defined categories of personal information in order to deliver services tailored specifically to your event, adhering at all times to the principles of necessity and minimisation under the APPs. When you submit an enquiry or confirm a booking, we gather your full name, email address, phone number and sometimes postal address to finalise arrangements and send relevant communications. Event-specific data encompasses the date, time, venue, anticipated guest numbers, preferred themes and custom requests such as particular game configurations or additional features. If a package is selected, basic payment information is processed through secure third-party providers such as Stripe, but we never retain sensitive card details — only transaction identifiers for record-keeping. Technical data collected automatically via cookies or server logs includes IP addresses, device types, browser versions, pages visited, session durations and referral sources, all used to assess site performance and enhance the user experience without identifying you personally. We do not collect sensitive information such as health data unless you voluntarily provide it for accessibility requirements, in which case it is used solely for that event and deleted immediately afterwards.

Retention periods are precisely defined: financial transaction records are maintained for 7 years per ATO guidelines, event booking information for 5 years to address any potential disputes, enquiry contact data for 1 year, and technical logs for 2 years before secure deletion. We conduct regular data audits to remove unnecessary records. Withdrawal of consent for marketing communications is acted upon immediately and has no bearing on existing event arrangements. You may request a copy of your data at any time by emailing events@fluxnodeau.com — provided free of charge unless the request is clearly excessive. Data can also be exported in a standard format such as CSV upon request. Our security infrastructure encompasses firewalls, encryption both at rest and in transit, multi-factor authentication for staff access and regular penetration testing by independent specialists. All staff sign confidentiality agreements and receive ongoing privacy training. Third-party processors are bound by data processing agreements mandating APP compliance. No data leaves Australia without appropriate safeguards confirmed in advance.

We share your personal information only when strictly required to deliver our services or comply with Australian legal obligations, and always with robust protections in place. For event setups, limited details may be disclosed to trusted suppliers such as equipment providers or staffing agencies, but only under binding contracts that require equivalent privacy standards and prohibit further disclosure. Analytics providers receive anonymised data exclusively. Payment processors receive transaction details but not full card information and are PCI DSS compliant. In rare circumstances, we may share information in response to lawful requests from Australian authorities, only after verifying legitimacy and minimising what is shared. We never share data for marketing purposes without your explicit consent. If you suspect unauthorised access to your information, please report it immediately to events@fluxnodeau.com. We are committed to making privacy as seamless as the events we create — transparent, stress-free and always in your corner.
